Project Management

Project management is a discipline within business administration that makes use of tools and techniques to initiate, plan, execute, monitor and control, and close a particular undertaking that we call a project. A project can be defined as a temporary undertaking that moves towards attaining a particular goal or objective to bring about improvements or changes or a new product or service altogether, within a fixed business structure.

Rewinding to the Past

Started in 1950s, project management was officially designated as a systematic approach to put into action the tasks and plans that were created to achieve a certain project objective. These phases form the project’s life cycle and each stage within these phases contribute to the progress of the project. The phases include:

  • Initiating
  • Planning
  • Executing
  • Monitoring and Controlling
  • Closing

Initiating

The initiating phase determines the installation of the project with its nature and its scope. Here, the true objective of the project is figured out and all its subordinating factors, which will help the project achieve the solution to a business problem. A successful initiation would determine the fate of the project. The progresses through the vision and goal of the project, which is decided here, will be the focal point for the rest of the different phases.

For this phase to be successful, project stakeholders should correctly and accurately figure out the project scope and the business environment that is needed for the project to thrive on. It is at this stage that the project charter is drafted, with the project objective as the pivot and the cost, deliverables, tasks, activities, and schedules as key elements to be maintained and managed, all of which need further planning.

Planning

Running further into detail is the planning phase that takes the project scope and objective and assigns real-life designs for plans around it. The route or workflow of the project is determined and finalized in this stage of the project life cycle. The time, cost, and resources are planned and risk is managed at each and every step. Quality controls are planned and designed to be introduced at each checkpoint and success metrics are agreed upon.

Right from planning a team, roles, responsibilities, and communication to planning each and every day with detailed tasks allocations, the planning phase is the most important phase that displays the entire skeleton of the work to be performed.

Executing

Here, the plan, which was conceptualized in the initiating phase and designed in the planning phase, is put into action. The deliverables are executed or implemented to yield the desired output for the success of the project. Real-time management, including allocation, coordination, and collaboration, takes place in this stage.

Monitoring and Controlling

This phase checks for any deviation or anomalies occurring during the execution of the project. The comparison is made based on the plan and its desired outputs for each process step. If there are any potential bottlenecks foreseen or any bottleneck identified during execution, remedial or corrective and preventive actions are undertaken to bring the situation under control and as per the design in the project plan. Audits and regular inspections are actions that are undertaken for the processes managed towards project objectives.

Closing

In this stage, all the process implementation and changes are finalized, and the project ceases to exist as the project objective is now reached. The closing includes finalization on the documentation and the archiving of the files and necessary guidelines for the project’s implementation. Lessons learned are taken onboard and used in the projects that come up later on.
